APS certificate takes up to 12 weeks, so start 4 to 6 months early

APS can take 2 weeks or 12 weeks, and that gap can cost you a semester. Here are the real timelines, the exact documents, and the steps that stop your case from stalling.

In this article

Your APS certificate can take 2 weeks or 12 weeks. That gap decides whether you meet your German university deadline or miss it.

APS is the Academic Evaluation Centre India (Akademische Prüfstelle). It checks that your Indian marksheets and degrees are genuine. It is part of the Science Section of the German Embassy in New Delhi. It works with DAAD, the German Academic Exchange Service.

Do you need an APS certificate?

Most likely, yes. If you hold Indian school or university certificates and plan to study in Germany, you need one. This covers Bachelor's, Master's and preparatory courses longer than 90 days.

You need it before you enrol at most German universities. You also need it before you apply for your student visa through VFS Global (the visa application centre).

Some students don't need APS:

  • Students on short courses under 90 days.
  • Students on fully funded exchange schemes, or with a German federal or state scholarship. Some DAAD Master's scholarship holders follow a separate path.
  • Students whose degree came from outside India, for example a UK, US or EU Bachelor's.

If you are still looking for a funded place, read our post on free Master's programs and the 2026 DAAD strategy. Check your scholarship rules before you pay the APS fee.

How long does the APS certificate take in India?

It depends on the season. APS says the check takes at least 2 to 4 weeks. That clock starts only when APS has your payment and your complete postal documents.

In practice, the time changes a lot through the year. Here is the pattern.

PeriodTypical processing time
Official minimum (after APS gets payment and all documents)2 to 4 weeks
Off-peak months3 to 6 weeks
April to July (busy time for the Winter semester intake)8 to 12 weeks
October to January (busy time for the Summer semester intake)8 to 12 weeks

The time your courier takes to reach Delhi comes on top of these numbers.

Here is what 12 weeks means for you. If you apply in June for an October start, you may get your certificate in September. Then you still need a visa appointment. That is too tight.

What documents do you need for APS?

Send photocopies or colour copies only. Never send your original certificates, unless APS asks for them in writing.

This is the standard list for Bachelor's and Master's applicants:

  1. Printed and signed application form. You fill it in online at aps-india.de. Attach a passport-sized photo that is not older than 6 months.
  2. Payment receipt. A printout of your CCAvenue transaction for the fee.
  3. Student authorisation letter. Download it from the APS site. Sign and date it. It lets APS contact your college, your board and government record offices. It follows DSGVO (the German data protection law) and Indian privacy rules.
  4. Identity documents. A copy of your Indian passport (first page and last address page). A copy of your Aadhaar card, with your mobile number linked.
  5. School records. Class X marksheet and certificate. Class XII marksheet and passing certificate. Add the Class XII admit card if you still have it.
  6. University records. Marksheets for every semester, or one consolidated transcript. Your Bachelor's degree certificate. If your convocation (degree ceremony) hasn't happened yet, send a provisional certificate that is not older than 1 year. Add Master's papers if you apply for a doctorate or a second Master's.
  7. Extra papers, if they apply to you. The dMAT score certificate (see below). Language certificates such as IELTS, TOEFL, Goethe-Zertifikat or TestDaF. A notarised English translation for any document in a regional language.

The full checklists and the authorisation form are on the APS India checklist page. Compare our list with that page before you post anything.

How do you apply for APS step by step?

  1. Register at aps-india.de and create your account. Fill in your personal, education and test details.
  2. Pay the fee inside the application system. It is ₹18,000, which is about €200. APS does not refund it under any circumstances.
  3. Print the application form it generates. Sign the declaration.
  4. Pack your documents and send them by courier to the address below.

Pay online with CCAvenue (the payment gateway on the APS site). APS discourages bank wire or offline transfer. Staff have to activate your account by hand during office hours. That can add days or even weeks.

You cannot drop your papers at the embassy or the APS office. In-person drop-offs are not allowed. Use India Post Speed Post or a courier such as DHL, Blue Dart or DTDC.

Write these on the outside of the envelope: your registered name, your application token (or registration number) and your email. Keep the courier tracking number too. It tells you when your parcel is delivered.

How can you speed up your APS certificate?

You can't make APS work faster. But you can stop your case from getting stuck. These habits matter most.

Warn your college before APS emails it

The number one reason cases run past 8 weeks is a status called "Non-support". It means APS emailed your college registrar or exam controller to check your transcripts, and the college ignored the email or missed it.

Fix this early. Tell your exam or records office that an email from APS is coming. Give APS the official institutional email of your controller, not a personal Gmail or Yahoo address. When the tracking shows your parcel delivered, follow up with the records officer.

Add DigiLocker files

DigiLocker is the Indian government app that stores verified digital copies of your documents. CBSE, CISCE and some state boards put certificates there. Download those verified PDFs and include them with your photocopies. APS officers can then cross-check them in the national databases straight away.

Make your names match

Your name must look the same on your Aadhaar, passport, Class X certificate and degree. A short form, a spelling change or a new surname will cause questions. If your names differ, add a notarised affidavit (a sworn written statement) that explains the difference.

Don't spam the contact form

APS says that repeated status queries slow the queue. Officers must read and close each one by hand. Send one clear message if something is really wrong. Then wait.

When should you apply for APS?

Earlier than you think. Apply 4 to 6 months before your deadline. You don't need to wait for a university offer. APS checks the Indian qualifications you have already finished. The result stays valid for that qualification level, with no expiry.

  • Winter semester (starts October): apply in January or February. That keeps you ahead of the April to July rush.
  • Summer semester (starts April): apply by August or September. That keeps you ahead of the October to January rush.

This also gives you time to fix problems. If a document is missing or your college stays silent, you still have weeks to spare.

What changed in 2026?

Two updates matter for some students.

The dMAT for some Master's applicants. The dMAT (Digital Master Test) is a test run by g.a.s.t. It applies to selected Master's groups: graduates in Engineering, in Commerce, Accounting, Finance or Economics, and in Business or Management. You must send your dMAT score report together with your APS papers. Book the test early.

The 70% rule for Class XII. From the Winter Semester 2026/27 intake, the Anabin database sets a new benchmark. Anabin is the German database that rates foreign school and degree systems.

Your Class XII result must be at least 70% of the maximum marks in two cases. The first is entry to a Studienkolleg (a preparatory course for foreign students). The second is direct admission to a subject with limited places, after one completed year of Bachelor's study. Check your marks against this before you apply. You can look up the rules on the Anabin website.

What about the certificate itself?

Since April 2023, APS sends a digital certificate called DigZert. It arrives as a digitally signed PDF at your registered email. APS no longer prints or posts paper copies.

Do not edit, rename, compress or merge this PDF. Any change breaks the digital seal, and the certificate becomes invalid. Save the original file in two safe places. Print it in colour and take that printout to your VFS appointment.

Unlike China and Vietnam, India's APS process is mostly based on documents. Oral interviews happen only in rare, flagged cases.

Your next step

Open your calendar and count back 6 months from your university deadline. Write that date down as your APS application date.

Then spend one afternoon on your college records office, because that is where most delays start. Once you have the certificate, start planning your room. Our post on finding student housing in Germany will help.

Rules can change, so read the APS India FAQ page before you apply.
